TESOL KUWAIT E-village Event Coordinators

Event Coordinator (Filled)

  • Responsible for coordinating and planning the events that occur in the EV.
  • Write and post the Call for Proposals.
  • Review and accept/reject proposals with each of the Workshop, Mini-Demos, Webinar and Developers Showcase Coordinators.
  • Investigate LMS options for the event for the presenter materials and podcasts to be posted if applicable.
  • Outline the plan and scheduling of the program booklet.
  • Work closely with the coordinating team which will be comprised of the following individuals: EV Administrator Coordinator, EV IT Coordinator, EV Assistant IT Coordinator, Computer Coordinator, Workshop Coordinator, Mini-Demos Coordinator, Webinar Coordinator, Developer’s showcase Coordinator

Administrative Coordinator

  • Communicates with the EV Event Coordinator and assists with tasks.
  • Recruit/organize volunteers to help during the EV event.
  • Responsible for coordinating with the workshop, demo, webinar and developers showcase coordinators for making the needed signs and posters for their section
  • Responsible for making signs for the EV event like “No food & drink” etc.
  • Responsible for hanging up EV schedule and other related signs for workshops or demos etc.
  • Responsible for ensuring presenters’ handouts are placed in the designated location per the activity taking place
  • Be familiar with the scheduled events, help with the daily activities within the EV and performs tasks as needed during the event.

Registration Coordinator 

  • Responsible for printing names and making badges for the presenters. Work closely with the other EV coordinators to ensure that the presenters’ list is correct, with the correct spelling of the names, affiliations, etc.
  • Recruit and assign volunteers to work:
    • At the EV registration table and
    • Help with assigning presenters to correct stations and
    • Act as moderators/timekeepers during each of the sectors.
    • Make sure presenters know where they need to be during their presentations.
    • Be ready to answer questions made by the presenters and attendees.
    • Help with the daily activities within the EV and performs tasks as needed during the event.

Layout Room Coordinator 

  • Communicate with the EV Event Coordinator on supplies needed.
  • Responsible for organizing the location premises with tables and chairs etc.
  • Work with the EV IT Coordinator or EV Assistant IT Coordinator to obtain items like projectors, screen, electrical cords, section dividers etc.
  • Be familiar with the scheduled events, help with the daily activities within the EV and performs tasks as needed during the event.
  • Make sure that the rooms are properly equipped for each presenter. Coordinate this also with EV IT Coordinator.
  • Recruit and assign volunteers to work:
  • Help with the daily activities within the EV and performs tasks as needed during the event.

EV IT Coordinator

  • Organizes the EV so that equipment is set up in advance, appropriate software and hardware is installed, and all necessary IT items are ready. This includes computers, laptops etc.
  • Running the IT section of the EV – in charge of the daily IT operations of the EV during the conference.
  • Work with EV Adminsitrator Coordinator to create signs relevant to station numbers
  • Check on web security issues.
  • Setup EV IT Help Desk
  • Recruit and assign volunteers to work:
  • Help with the daily activities within the EV and performs IT tasks as needed during the event.

EV Assistant IT Coordinator

  • Communicates with the EV IT Coordinator and performs tasks as needed.
  • 2 months prior to the conference, work with the EV IT Coordinator on getting any hardware or software needed for the event ready.
  • Assists in the setup of the EV during the conference and be there supporting the EV IT Coordinator at all times.
  • Help setup EV IT Help Desk with the EV IT Coordinator.
  • Help with the daily activities within the EV and performs tasks as needed during the event.

Computer Coordinator

  • Assist Event Coordinator with the e-village website 
  • Develop presenter's database for each section
  • Program schedule coordination with section teams including registration team
  • Upload program schedule on website
  • Upload podcasts if available on website
  • Upload presenters materials on website
  • Generating QR Codes for presenters and attendees for the event
  • Help with design of the brochure and EV program booklet either softcopy or through a Mobile App

Mini-Demo Coordinator  

  • Check received proposals to confirm that they are appropriate for the event.
  • Keep database of submitted proposals sent via email.
  • Respond to emails from interested individuals about the proposals.
  • Evaluate proposals and decide to accept or reject proposals based on the conference suitability.
  • Distribute suitable recommendations with acceptance and rejection to the EV Event Coordinator.
  • Send out rejection and acceptance letters provided by the EV Event Coordinator.
  • Work with the EV Event Coordinator to plan and schedule workshops.
  • Assign each presenter his/her presentation date and time.
  • Communicate with presenters as needed.
  • Prepare signs, sign-up sheets, and provide updates as needed with the EV Administrator Coordinator.
  • Attend the meetings about the event.
  • Recruit and assign volunteers to work with you if needed
  • Help with the daily activities within the EV and performs tasks as needed during the event.

Workshop Coordinator 

  • Check received proposals to confirm that they are appropriate for the event.
  • Keep database of submitted proposals sent via email.
  • Respond to emails from interested individuals about the proposals.
  • Evaluate proposals and decide to accept or reject proposals based on the conference suitability.
  • Distribute suitable recommendations with acceptance and rejection to the EV Event Coordinator.
  • Send out rejection and acceptance letters provided by the EV Event Coordinator.
  • Work with the EV Event Coordinator to plan and schedule workshops.
  • Assign each presenter his/her presentation date and time.
  • Communicate with presenters as needed.
  • Prepare signs, sign-up sheets, and provide updates as needed with EV Administrator Coordinator.
  • Attend the meetings about the event.
  • Recruit and assign volunteers to work with you if needed
  • Help with the daily activities within the EV and performs tasks as needed during the event.

Webinar Coordinator 

  • Invite international institutions to participate. Communicate with EV Event Coordinator.
  • Check received proposals to confirm that they are appropriate for the event.
  • Keep database of submitted proposals sent via email.
  • Respond to emails from interested individuals about the proposals.
  • Evaluate proposals and decide to accept or reject proposals based on the conference suitability.
  • Distribute suitable recommendations with acceptance and rejection to the EV Event Coordinator
  • Work with the EV Event Coordinator to schedule webinars.
  • Assign each presenter his/her presentation date and time.
  • Communicate with presenters as needed.
  • Send out rejection and acceptance letters provided by the EV Event Coordinator.
  • Publicize instructions for presenters on how to connect with the audience during the event. This is to be done with the EV Event Coordinator and EV IT Coordinator.
  • Work with on-site and off-site presenters to assure quality webinars.
  • Review with EV IT Coordinator, speakers, headphones, screens etc. are all working and set where they need to be.
  • Recruit and assign volunteers to work with you if needed
  • Help with the daily activities within the EV and performs tasks as needed during the event.

Developers’ Showcase Coordinator 

  • Invite local and international companies/institutions to participate. Communicate with EV Event Coordinator.
  • Check received proposals to confirm that they are appropriate for the event.
  • Keep database of submitted proposals sent via email.
  • Respond to emails from interested individuals about the proposals.
  • Evaluate proposals and decide to accept or reject proposals based on the conference suitability.
  • Distribute suitable recommendations with acceptance and rejection to the EV Event Coordinator
  • Assign each presenter his/her showcase date and time.
  • Communicate with presenters as needed.
  • Send out rejection and acceptance letters provided by the EV Event Coordinator.
  • Provide a plan and schedule for the showcase with the EV Event Coordinator.
  • Confirm presenters’ software and hardware needs with EV IT Coordinator.
  • Perform others tasks as needed related to the showcase and communicate with the EV Event Coordinator and EV IT Coordinator during the whole process.
  • Recruit and assign volunteers to work with you if needed
  • Help with the daily activities within the EV and performs tasks as needed during the event.
